1. Introduction

These Terms & Conditions (“Terms”) govern all travel planning and booking services provided by Bill Duffield Travel Agent (“Company,” “we,” “our,” or “us”). By using our website, submitting a travel inquiry, or authorizing a booking, you (“Client,” “you,” or “your”) agree to be bound by these Terms.

We operate as an Independent Contractor travel agent, providing travel planning services and acting as an intermediary between Clients and travel suppliers.

2. Role as an Independent Travel Agent

You acknowledge that Bill Duffield Travel Agent is not the provider of flights, cruises, hotels, tours, rental cars, or other travel services. All travel components are fulfilled by third-party suppliers, each of which maintains its own terms, conditions, policies, and liability limitations.

By booking through us, you agree to comply with all applicable supplier policies.

3. Booking Authorization & Payment

3.1 Credit Card Authorization

All payments made on your behalf require a signed Credit Card Authorization Form. By signing, you confirm that:

• You authorize us to charge your card for travel services.

• You are financially responsible for the charges.

• You understand that certain payments may be non-refundable depending on supplier rules.

3.2 Supplier Payments

Payments may post under the supplier’s name, not ours. You agree to monitor your statements for accuracy.

4. Fees

You acknowledge that the Company may charge service fees, research fees, change fees, or cancellation fees as disclosed during the planning process. Supplier-imposed fees are separate and outside our control.

5. Cancellations, Changes & Refunds

All cancellations, refunds, itinerary changes, and penalties are governed solely by the policies of the third-party suppliers.
We are not responsible for supplier decisions regarding refunds, schedule changes, or denials.

If you request a cancellation, your refund (if any) will follow the supplier’s terms and can take several weeks to process.

6. Client Responsibilities

By working with us, you agree to the following responsibilities:

6.1 Accuracy of Information

You must provide complete and accurate names, dates of birth, passport details, and contact information.

6.2 Itinerary Review

You must review your full itinerary and all confirmations for accuracy within 48 hours of receipt.
Failure to report errors within this timeframe may result in additional costs or inability to correct the issue.

6.3 Travel Requirements

You are responsible for:

• Valid passports and meeting entry/visa requirements

• Compliance with destination-specific health, vaccination, or testing rules

• Meeting supplier deadlines for check-in, boarding, or documentation

7. Travel Insurance

We strongly recommend purchasing travel insurance to protect against trip interruption, cancellation, medical emergencies, delays, baggage loss, and other unforeseen events.
Declining insurance is at your own risk.

8. Limitation of Liability

To the fullest extent permitted by law:

• We are not liable for any losses, damages, injuries, delays, inconveniences, or failures caused by third-party suppliers or events beyond our control, including but not limited to weather, natural disasters, pandemics, government actions, labor strikes, mechanical breakdowns, or acts of God.

• We do not guarantee the performance or quality of services provided by suppliers.

• You waive any claim against us for such events.

This is a strong protection clause, as requested (Option A).

9. Website Use & Data Practices

Your use of www.billduffieldtravelagent.com is governed by these Terms and our separate Privacy Policy, which describes how we handle:

• Mailchimp email collection

• Google Analytics data

• Contact and quote request forms

• Cookies and site tracking

By using the website, you agree to both documents.

10. Intellectual Property

All content on this website — including blog posts, travel guides, itineraries, branding, graphics, and the “Bill Duffield Travel Agent” name — is the exclusive property of the Company and protected under U.S. copyright law.

You may not copy, reproduce, or distribute any content without written permission.

11. Governing Law

These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law principles.

12. Acceptance of Terms

By booking travel, submitting a credit card authorization, or using our website, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
